1. Definitions

This includes, but is not limited to, name, email address, phone number, business details, and financial information.
  • Authorized Customer: A business, organization, or individual that registers for and uses the WedTech Pro Services, including any features that integrate with the WhatsApp Business Platform.
  • End User: An individual who communicates with an Authorized Customer via the WhatsApp platform, where such communication is facilitated or managed through our Service.
  • WhatsApp Business Account (WABA): An account on the WhatsApp Business Platform managed by or on behalf of an Authorized Customer.
  • WhatsApp Data: Any data processed through our integration with the WhatsApp Business Platform. This includes, but is not limited to, WABA identifiers, phone numbers (of Authorized Customers and End Users), message content (text, images, videos, documents, audio files, contacts, location), message metadata (e.g., timestamps, delivery status, read receipts), WhatsApp profile information of Authorized Customers and End Users (e.g., profile name, profile picture, status), and message templates.
  • Technical Service Provider (TSP): Our role in providing the technical infrastructure and software (WedTech Pro) that enables Authorized Customers to use and manage their WhatsApp Business Platform communications. In this capacity, we process WhatsApp Data on behalf of and as instructed by our Authorized Customers.

2. Information We Collect

We collect information in the following ways:

2.1. Information You Provide to Us (Authorized Customers)

  • Account Registration: When you create a WedTech Pro account, we collect PII such as your name, business name, email address, phone number, and password.
  • Payment Information: To process payments for our Services, we (or our third-party payment processors like Stripe) collect payment details. We do not store full credit card numbers on our servers.
  • WhatsApp Business Account Integration: To connect your WABA to our Service, we may require you to provide your WABA ID, Phone Number ID(s), and authorize access via Meta's authentication mechanisms (e.g., access tokens). This information is used solely to facilitate the integration.
  • Communications with Us: If you contact us for support or other inquiries, we may collect information related to your communication.

2.2. Information We Process on Behalf of Authorized Customers (WhatsApp Data)

When our Authorized Customers use WedTech Pro to interact with their End Users via the WhatsApp Business Platform, we act as a TSP and process WhatsApp Data. This includes:

  • Message content exchanged between Authorized Customers and End Users.
  • Phone numbers and other WhatsApp profile information of End Users that Authorized Customers communicate with.
  • Media attachments (images, videos, documents, etc.) shared in messages.
  • Message metadata (timestamps, delivery and read receipts, message IDs).
  • Information related to the management of the Authorized Customer's WABA via our Platform (e.g., message template submissions, profile updates initiated through WedTech Pro).

Important Note: We process WhatsApp Data solely on behalf of and under the direction of our Authorized Customers. Our Authorized Customers are the data controllers for the WhatsApp Data they manage through our Service and are responsible for their own compliance with applicable privacy laws and WhatsApp's policies regarding their End Users' data.

2.3. Information Collected Automatically (Site Visitors & Service Usage)

  • Log Data and Device Information: When you visit our Site or use our Services, we may automatically collect log files and device information (e.g., IP address, browser type, operating system, access times, pages viewed).
  • Cookies and Tracking Technologies: We use cookies and similar tracking technologies to collect information about your interaction with our Site and Services. Please see our Cookie Policy (if separate, or a section below) for more details.

3. How We Use Information

We use the information we collect or process for the following purposes:

  • To Provide and Manage Our Services: To operate WedTech Pro, create and manage Authorized Customer accounts, process payments, provide customer support, and deliver requested services, including facilitating WhatsApp communications.
  • To Facilitate WhatsApp Business Platform Integration: Specifically, to enable Authorized Customers to send, receive, and manage messages and their WABA through our Service as a TSP. We act as a conduit for WhatsApp Data as directed by the Authorized Customer.
  • To Communicate with Authorized Customers: To send service-related information, updates, security alerts, and administrative messages. We may also send marketing communications if you have opted in (you can opt-out at any time).
  • To Improve Our Services: To analyze usage trends, gather feedback, and improve the functionality and user experience of WedTech Pro.
  • For Security and Fraud Prevention: To protect the security of our Site, Services, and users.
  • For Legal Compliance: To comply with applicable laws, regulations, legal processes, or governmental requests.

4. How We Share Information

We do not sell PII. We may share information under the following circumstances:

  • With Meta Platforms, Inc. (WhatsApp): As a TSP for the WhatsApp Business Platform, the use of our WhatsApp integration features inherently involves the processing and transmission of WhatsApp Data to and from Meta's servers. This is essential for the functionality of the service. All such data processing by Meta is governed by their terms and policies. Authorized Customers are responsible for understanding and complying with:
  • Service Providers: We may share information with third-party vendors and service providers who perform services on our behalf (e.g., payment processors, hosting providers, email delivery services, analytics providers). These providers are contractually obligated to protect the data and use it only for the services they provide to us.
  • As Directed by Authorized Customers: WhatsApp Data is shared with End Users as initiated and directed by the Authorized Customer through their use of our Service.
  • Business Transfers: If Plan Excellence is involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of all or a portion of our assets, your information may be transferred as part of that transaction.
  • Legal Requirements: We may disclose information if required by law or in the good faith belief that such action is necessary to comply with legal obligations, protect our rights or property, prevent fraud, or protect the safety of our users or the public.
  • Aggregated or De-identified Data: We may share aggregated or de-identified information that cannot reasonably be used to identify you.
  • With Your Consent: We may share your information with your explicit consent.

5. Our Role as a Technical Service Provider for WhatsApp

Plan Excellence, through WedTech Pro, acts as a Technical Service Provider (TSP) enabling businesses (our Authorized Customers) to use the WhatsApp Business Platform. In this role:

  • We provide the software and infrastructure to connect to the WhatsApp Business API.
  • We process WhatsApp Data on behalf of and as instructed by our Authorized Customers. The Authorized Customer is the data controller for the PII of their End Users.
  • Our Authorized Customers are responsible for ensuring they have the necessary consents and legal basis to collect, use, and share End User data via WhatsApp, in compliance with all applicable laws and WhatsApp's policies.
  • We do not use WhatsApp Data processed on behalf of an Authorized Customer for any purpose other than providing and improving the Services to that specific Authorized Customer, or as required by law or Meta.
  • We implement technical and organizational measures to protect WhatsApp Data, as detailed in the "Data Security" section.

6. Data Security

We implement appropriate administrative, technical, and physical security measures to protect the security of your PII and WhatsApp Data from unauthorized access, use, alteration, or disclosure. This includes encryption of data in transit (e.g., SSL/TLS) and at rest, access controls, and regular security assessments.

However, please be aware that no security system is impenetrable. While we strive to use commercially acceptable means to protect your information, we cannot guarantee its absolute security. Any transmission of PII is at your own risk.

7. Data Retention

We retain PII of Authorized Customers for as long as their account is active or as needed to provide them Services, comply with our legal obligations, resolve disputes, and enforce our agreements.

WhatsApp Data processed on behalf of Authorized Customers is retained to enable features like message history within our Platform. The retention period for this data may be influenced by the Authorized Customer's subscription or settings. Upon termination of an Authorized Customer's account, or upon their request, we will delete or anonymize associated WhatsApp Data in accordance with our data deletion policies, subject to any legal or Meta-mandated retention requirements and backup cycles.

8. Your Data Protection Rights

Depending on your location and applicable laws (e.g., GDPR for EEA residents, CCPA for California residents), you may have certain rights regarding your PII. These may include:

  • The right to access, update, or delete the information we have on you.
  • The right of rectification.
  • The right to object to processing.
  • The right of restriction of processing.
  • The right to data portability.
  • The right to withdraw consent (where consent is the basis for processing).
  • The right to lodge a complaint with a supervisory authority.

Authorized Customers can typically manage their account information through their WedTech Pro dashboard. For other requests or if you are an End User wishing to exercise rights regarding data processed by an Authorized Customer via our Service, please contact the Authorized Customer (the business you interacted with) directly, as they are the data controller. We will assist our Authorized Customers in responding to such requests as required.

9. International Data Transfers

Your information, including PII and WhatsApp Data, may be transferred to, stored, and processed in countries other than your own, including the United Arab Emirates where Plan Excellence is based, and other locations where our servers or service providers are located. Data protection laws in these countries may differ from those in your jurisdiction. By using our Services, you consent to such transfers. We will take appropriate safeguards to protect your information in accordance with this Privacy Policy and applicable law.

10. Children's Privacy

Our Services are not directed to individuals under the age of 18 (or the relevant age of majority in their jurisdiction). We do not knowingly collect PII from children. If we become aware that a child has provided us with PII without parental consent, we will take steps to delete such information.
